Remote Employee Offboarding Checklist Template (Free Download)

Most small businesses have a rough idea of how to onboard someone. Offboarding is where things quietly fall apart, an account that never gets deactivated, equipment that's "supposed to come back eventually," a former employee who still technically has Slack access three months later.
Here's a full checklist so nothing gets missed, whether the departure is smooth or sudden.

Why offboarding needs the same structure as onboarding

Every offboarding leaves a trail: system access, physical equipment, institutional knowledge, final paperwork. Miss any piece and you're left with a security gap, a missing laptop, or a successor who has no idea how the departing employee actually did their job. None of this requires a big HR team to prevent. It requires a checklist that runs the same way every time, regardless of how the departure happened.

The Remote Offboarding Checklist

The day departure is confirmed:
  • Record the confirmed last day and departure type (voluntary or involuntary) in the employee file
  • Notify whoever manages systems access so a full access audit can start within 24 hours
  • Brief the manager and start the knowledge transfer plan immediately, not the week before the last day
During the notice period:
  • Assign a knowledge transfer template and name a successor or interim owner for each responsibility
  • Schedule an exit interview for voluntary departures
  • Send equipment return instructions and a shipping label if remote
  • Confirm all company files are on shared drives, not personal storage, before access is cut
Two days before the last day:
  • Confirm all final paperwork is signed, termination letter, NDAs, any required agreements
  • Stage every account for same-day deactivation, don't wait until the last day to figure out what needs cutting
  • Confirm knowledge transfer is actually complete and the successor has been briefed
  • Send final pay and benefits confirmation
Last day, access revocation:
  • Deactivate every account at end of business: email, single sign-on, cloud tools, project management, communication platforms
  • Revoke VPN access, MFA tokens, and any shared credential access
  • Transfer or archive the email inbox with an auto-reply and redirect contact
  • Complete the formal separation record
Within 5 business days after the last day:
  • Confirm all equipment was received, inspected, and logged
  • Run a final access audit to confirm zero credentials remain active
  • Archive the completed offboarding file
One critical exception: if a termination is involuntary and effective immediately, access revocation has to happen at or before the moment the employee is notified, not after. There should be no window between notification and revocation. That means the access list gets staged in advance, before the conversation happens, not scrambled together during it.

  • Remove from all cloud storage platforms
  • Deactivate project management tool access
  • Remove from communication platforms

  • Transfer or archive the email inbox

Documentation and separation:
  • Confirm final paperwork signed and on file
  • Issue final pay documentation within the legally required timeframe
  • Confirm final pay and vacation payout processed
  • Remove from active benefits coverage
  • Archive the completed offboarding file
Operational handoff:
  • Confirm knowledge transfer docs are saved somewhere shared, not just in someone's head
  • Reassign all open tasks to a successor or interim owner
  • Remove from recurring meetings and distribution lists
  • Update the internal team directory
  • Notify relevant internal and external contacts of the change
